Privacy policy
SmartPark runs guest parking, patrol and parking fines for residential strata, condo and HOA communities. This policy explains what personal information we collect, why, who sees it and what you can do about it. We handle personal information under British Columbia's Personal Information Protection Act (PIPA).
Who this covers
- Residents who use SmartPark to issue guest passes.
- Guests a resident issues a pass for.
- Council and board members and property managers who run SmartPark for a building.
- Patrol officers who check plates in a building.
- Visitors to this website, including anyone who books a demo.
What we collect
- Account details: name, email address, phone number, building and unit.
- Vehicles: licence plates of residents' own cars and of guests' cars.
- Guest details: a guest's name, licence plate and phone number, entered by the resident who invites them.
- Pass history: when each pass was issued, extended and ended.
- Patrol records: plates scanned, the time and parking area, notes, and photos taken as evidence for a fine.
- Fines and payments: notices issued, responses, hearing requests and payment outcomes. Card details are handled by our payment processor, Stripe; we never see or store your full card number.
- Technical information: sign-in sessions and device information needed to keep your account secure.
- Demo requests: what you type into the form on this website.
How we use it
- To issue guest passes and text them to guests.
- To let patrol check whether a car is allowed to park.
- To issue, review and collect parking fines under your building's bylaws and the laws that apply to it.
- To send notices, receipts and notifications you have asked for.
- To reply to demo requests and support questions.
We do not sell personal information, and we do not use it for advertising.
Who can see it
- Your building's council or board and its property manager, for the building they manage.
- Patrol officers assigned to your building see plates, passes and units. They do not see residents' profiles.
- A guest's pass link shows the plate, time remaining and where to park. It never shows the guest's name or phone number.
- Service providers who run parts of SmartPark for us: Supabase (database and sign-in), Stripe (payments), Twilio (text messages), Resend (email) and Netlify (hosting). Some of them may store information outside Canada.
- Anyone the law requires us to disclose it to.
How long we keep it
Pass history and fine records are kept for 24 months so disputes and reports can be resolved. Account information is kept while you live in the building. When you move out or delete your account, your personal information is removed within 30 days. Evidence photos are kept with the fine they belong to.
Your rights
You can ask to see, correct or delete your personal information, or ask for a copy of it. Most of it you can change yourself in the app's Account settings. For anything else, write to us at the address below. If you are not satisfied with our answer, you can contact the Office of the Information and Privacy Commissioner for British Columbia.
